Privacy Policy

This policy explains how Worldwide Internet Consulting Services LLC, trading as Posyline, handles personal data. Posyline answers phone calls for florists. When you call a florist that uses Posyline, the florist decides why your data is used (it is the “controller”) and Posyline handles it on the florist’s behalf (we are its “processor”). For our own sales and billing contacts, Posyline is the controller.

People who call a florist (callers and senders of flowers)

  • What we collect: the call recording and transcript; your phone number (caller ID); your name, mobile and email if you give them; the recipient’s name, phone and address; the delivery date and card message; what you ordered; whether you agreed to texts; payment status (paid or not). We never collect card numbers. If you start reading one out, the assistant stops you, and automatic redaction removes card-like numbers from transcripts.
  • Why: to take and deliver your order, send you the payment link and delivery update you asked for, transfer you to staff, and fix mistakes in the assistant. Legal basis (UK/EU): performance of a contract with the florist’s customer and the florist’s legitimate interests; consent for texts where the law requires it.
  • Recipients (people receiving flowers): we use their name, phone and address only to deliver the order. We never text or market to them.

Florists and prospects (our own customers and contacts)

Name, business, work email and phone, billing details, emails we exchange. Used to sell, provide and bill the service. Business contact details may come from public sources such as a shop’s website or Google listing.

How long we keep it

  • Call recordings: 30 days, then deleted.
  • Transcripts and order records: 12 months, then deleted, unless the florist asks for earlier deletion.
  • Text consent logs: as long as needed to prove consent, up to 4 years.
  • Billing records: as long as tax law requires (usually 7 years).

Who we share it with

Retell AI (voice agent, recordings, transcripts), Twilio (phone numbers, texts), Stripe (payment links and our billing), Google (email, Sheets, Google Business Profile), Cloudflare (website, DNS, email routing), and our hosting provider. They may process data in the United States. We never sell personal data or share it for advertising.

Texts

We text you only about your own order after you say yes on the call. Reply STOP to any text to opt out; reply HELP for help. Message and data rates may apply. Mobile numbers and SMS consent are never shared with third parties for marketing.

Your rights

You can ask for a copy of your data, a correction or deletion. Because the florist controls caller data, we pass caller requests to the florist and help it answer within the legal time limit. Email [email protected].

United States

Calls are recorded only after the assistant tells you so at the start of the call, which meets one-party and all-party consent state laws. Residents of states with privacy laws (for example California) have the rights those laws give, and we act as a “service provider” to the florist.

UK and EEA

UK GDPR and the EU GDPR apply to UK/EEA callers. Data sent to the US is protected by the UK–US data bridge or the EU–US Data Privacy Framework where the recipient is certified, or by standard contractual clauses (the UK addendum for UK data). You can complain to the ICO (ico.org.uk) or your local regulator.

Security

Access is limited to people who need it; data is encrypted in transit; card data never touches our systems.
